01Data controller
The controller of personal data processed in connection with cogiflow.ai (and cogiflow.pl) is Cogiflow Jarosław Pawlik, tax ID (NIP) 7681680493, e-mail: info@cogiflow.ai. We provide a correspondence address on request.
We process data in accordance with Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 (GDPR) and Polish law.
02Scope and purpose of processing
The site needs no account and sells nothing online. Personal data reaches us only when you contact us yourself.
- Contact form: name, e-mail address, company name and message. The message is sent by e-mail to info@cogiflow.ai over SMTP from our own server. We use this data to reply to your enquiry and prepare an offer.
- Call booking: the TidyCal calendar. You enter your name, e-mail address and any details for the call there. TidyCal is a separate provider that processes this data under its own terms; its privacy policy is available at tidycal.com. The calendar script loads only on pages with booking.
- E-mail correspondence and calls you initiate: contact details and the content of messages.
- Technical data: IP address and basic browser information in server and Cloudflare logs, for security and for the site to work properly.
03Legal basis
- Taking steps at your request before entering into a contract and performing a contract (Art. 6(1)(b) GDPR) when replying to an enquiry, preparing an offer and working together.
- The controller's legitimate interest (Art. 6(1)(f) GDPR) when securing the site and server, handling correspondence, and establishing or defending against claims.
- Legal obligation (Art. 6(1)(c) GDPR) for accounting and tax documents, if we end up working together.
Providing data in the form is voluntary, but without an e-mail address we cannot reply to your message.
04Recipients of data
Data may be passed to providers that help us run the site and handle contact:
- OVH, hosting of our server in the European Union,
- Cloudflare, content delivery network and proxy (CDN and reverse proxy) through which site traffic passes. When using this service, data may be processed outside the European Economic Area, based on mechanisms provided in the GDPR, including standard contractual clauses,
- TidyCal, the calendar provider for booking calls (once you use the booking),
- accounting and legal service providers, where needed for our cooperation,
- authorities entitled under the law.
We do not sell data and do not use it for advertising.
05Data retention period
- Correspondence from an enquiry that did not lead to cooperation: up to 3 years from the last contact (limitation period for claims in business activity).
- Data related to a contract: for the term of the contract and until claims become time-barred.
- Accounting documents: 5 years from the end of the calendar year in which the tax payment deadline expired.
- Technical server logs: up to 12 months.
06Your rights
You have the right to:
- access your data and obtain a copy,
- rectify your data,
- erase your data, in the cases set out in the GDPR,
- restrict processing,
- data portability,
- object to processing based on legitimate interest,
- lodge a complaint with the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warsaw, Poland.

07Cookies and similar technologies
The site uses no analytics or marketing cookies and loads no analytics or advertising tools. We do not store our own cookies or localStorage data on your device.
Cloudflare, whose network carries the site traffic, may set technical cookies needed for abuse protection and a working connection. Likewise, the TidyCal calendar on booking pages may use its own cookies. You can change cookie settings in your browser.
08Security
The connection to the site is encrypted (HTTPS). Only authorised people have access to the mailbox and the server. We publish changes to this policy on this page, and the date at the top shows the last update.
